Biography of university archives

How are we in our archive? In our age of high space and computer technology, when any information can be found on the Internet! Nevertheless, such a huge university cannot live and work without an archive. You can’t even imagine what problems people address here. Often with those that the archive does not deal with at all. Or recently, we heard a request from the visitor: please tell me, in which year my sister married an employee of your institute, I need to confirm that I am her heir.

As a result of such appeals, it seems that for many an archive is the last instance where they can help: what if you are lucky? And we try to help everyone, even if the question is not ours, we explain where to go and on what phone. It happens that we ourselves begin to call and find out, realizing that it is very difficult for a person to understand our large structure.

Often we hear from visitors: “You know, the fate of a person is being decided now, and it depends on you! Confirm the experience of work, the fact and period of training, the authenticity of the diploma, to obtain unclaimed documents of certificates, diplomas of previous education is the smallest and most basic thing the archive does. And a painstaking search begins, which sometimes takes several days.

Firstly, because the concept of “oh-oh-very long”, as a rule, is quite stretched in time. People forget when they acted and when they were expelled, and some acted more than once. Women forget when they changed their last name or forget to say that they changed it in the period that is needed.

Biography of university archives

Men love to “exaggerate” the experience of work. Apparently, the work was so hard that in memory of the experience of five years it grows smoothly to eight. Or maybe they think that we are “easy” and “without looking” confirm everything we want. We work only with the original documents on the personnel of employees and students, as well as the original documents on the main activities of universities and are responsible for the provision of reliable information from these documents.

And secondly, we still do not have a complete electronic database on all documents of the archive, so we have to look for almost all the information on paper descriptions, and inaccurate initial data make it very difficult to search. Only one year passed after uniting in the premises of the corps of D on the street. Kirensky, 26 archival funds of the Krasnoyarsk State University, State University of Non-ferrous metals and gold and the Krasnoyarsk State Architectural and Civil Engineering Academy.

The Fund of the Krasnoyarsk State Technical University remained in its former place in the building on Borisov, for five years we waited for this moment, and there was something to wait. The hall in which the student library used to be is very spacious, bright and comfortable, it is a pleasure to work in it. Last fall, another fund joined us-the Krasnoyarsk State Trade and Economic Institute, whose move to a united archive is expected from day to day.

When you go to our archive, there is very quiet there. Slender rows of racks with neatly placed documents, inscriptions and labels store information. The paper is silent. No wonder they say: "The paper will endure everything." She tolerates when you accidentally drop a one or a bunch with business, because she only “grows” very heavy reproachfully, as if she wants to say: “Well, what are you so careless with me!

It is silent even when you draw up a terrible document called “Act on the destruction of documents that are not subject to storage”, in which you write no less terrible words “destroy by burning”. But when you need, our documents will say more than anyone. It is no secret that sometimes one document on an official form with signatures and seals can confirm more than dozens of witnesses.

When you leaf through archival documents, the history of universities that became part of the SFU and the history of individual people, and even the history of our country, are clearly visible. This is especially noticeable when you work with the oldest of the funds - the Fund of the State University of non -ferrous metals and gold. Few people know that this university began its existence in the year, and in the year was transferred from Moscow to Krasnoyarsk.

Thus, in our fund, documents have been preserved almost summer ago. Here, for example, is a certificate issued by the “People’s Commissariat of the Education of the RSFSR” in the year after graduation, in which estimate 3 was called “mediocre”, and not “satisfactory”, as it is now. Or a few "certificates of maturity" of the Soviet period, already issued by the Ministry of Education.

The records on them are made from two sides, on one side in Russian, and on the back of the republic’s native language-Ukrainian, Belarusian, Georgian, etc. This certificate gave the right to enter any university of the USSR.This order ends with the following words: “The rector, trade union, party and Komsomol organizations express confidence that our graduates of the third release of the year will skillfully attach the knowledge gained at engineering at the Institute, will be excellent managers in production, successfully introducing advanced achievements of science and techniques, good educators of labor groups, true patriots of their specialty and increase The glorious traditions of the Institute of Non -Ferrous Metals named after We wish everyone fruitful and creative work in the chosen field for the good and for the glory of our great homeland!

On a good way, dear comrades! Each word is saturated with love and pride in their country, because that time was a period of large -scale youth construction projects, and our Krasnoyarsk hydroelectric power station was also written in the essay. People just started flying into space, and the youth dreamed of great feats for the good of their homeland, believed in "happy tomorrow and brought him closer with their labor." When you leaf through the personal affairs of students, you understand that at all times the actions of people were approximately the same - both good and bad.

Here the young man was convicted by the court sentence for the fact that “being untidy and drunk, he molested the girls with a request to dance, expressed an obscene abuse, resisted and urged“ border guards ”to beat the police officers during the detention on the dance floor in the park”, for which he received imprisonment for two years in a correctional labor colony of reinforced regime.

And the other with weapons kept the whole room in the hostel hostage. But the order of the rector of the same year: “The 1st year student of the correspondence faculty for the dishonest act, expressed in the submission to the department of the graph of someone else's work, declare a strict reprimand and warn that the repetition of such an act entails the deduction from the institute.” There are many interesting documents, some of them are unlikely to see somewhere, except for the archive, for example, “party characteristics for a member of the CPSU”.

By the way, employees of the Steel Motor Institute, who were very worried about the fate of archival materials, were engaged in the transfer of archival documents from Moscow, so they convincingly asked for “analyzing the incoming material as they arrived and according to all the“ rules of archival art ”, otherwise it would be very difficult for employees to work.” According to archival documents, you can trace how their style and design have changed over the years.

We are so accustomed to modern technologies that sometimes we automatically ask each other: what, in the personal file there is no copy of the passport? And then we answer ourselves: what a copy of the passport in the years? Then all documents were executed by hand, including copies of certificates, work books and various evidence. Quite often, requests come from other countries - America, Australia, Germany, the former republics of the Soviet Union.

Very often, people do not understand that we are working with confidential information, with personal data, for the disclosure of which we bear administrative and even criminal liability. To which we once again patiently answer that we can only issue documents personally in our hands on a passport or send a registered letter. It happens that letters come with a request and even a requirement to send a personal file or give it out in your hands, while affirming that a personal file is the property of a visitor.

In fact, this is the property of the university, for the safety of which we bear personal responsibility. Our archive is a source of completing the State Archival Fund of the Russian Federation, as a result of the formation of the SFU, the archive received the status of departmental, it stages for a long storage period of mainly 50 and 75 years, and some constantly.

The Siberian Complex archival funds have the procedure for storage units for comparison: there are 1.5 million cases in the Krasnoyarsk Regional State Archive. When the employees with whom we work quite successfully and fruitfully, when transferring cases for storage in the archive, consider our requirements too strict, I would like to tell them how difficult it is to work with incorrectly formalized affairs.

On some documents of closed funds, there are no covers, internal inventories, the documents inside the volume are located in the wrong order, all this increases the time of searching for information and wears out the pages from frequent turning. There are a lot of work with the funds, they must be put in order, systematized according to the unified requirements, so the entire team, in addition to current work, is engaged in the design of covers and internal descriptions, preparation of cases for binding due to wear of covers, compilation of electronic databases, and this requires a lot of time and attention to exclude error.

Indeed, only in the Foundation of the SFU, which is only six years old, already almost 10 storage units, and things arrive at lightning speed, they are transferred for storage by hundreds and even thousands of volumes at the same time. All these documents must be accepted correctly and arranged in proper order. It is unfortunate that they often treat the archive as something unnecessary and superfluous.

And I believe that in the place of those people, “whose fate is currently being decided,” any of us, our relatives and friends may be. And how our future fate will be decided, will depend on how quickly and accurately the archive employees find the necessary information or make the desired certificate. Our team is small, but active and hardworking.

We look optimistic into the future. We dream of automatic racks and storage systems, about the electronic archive that will save time to search for the necessary information and take it to a modern level. I think that these simple words may well become the motto of all archivists: “Preserving the past now, we are building someone’s future!
